Overview

This is a highly responsible administrative position performing a variety of complex and diverse administrative duties requiring confidentiality, discretion, independent judgment, initiative, organization, and extensive knowledge of District policies and procedures. This position provides a wide range of administrative support functions for EMS. Responsible for maintaining multiple databases and updating certifications and permissions within those databases.Receives incoming telephone calls from external and internal customers, accurately records information, and determines next appropriate steps in the communication process.Process HIPAA sensitive patient care report requests.Serve as CDPHE Organization Profile Gatekeeper, maintaining annual organization profile information and application updates. Coordinate with internal and external stakeholders to resolve application issues and ensure timely processing of submissions.Receives initial certifications and vaccinations during onboarding process and ensures all credentials are within expiration guidelines.Ensures that all certifications are sent to appropriate people and are entered into appropriate database.Applies for grant funding for educational and medical equipment, including research, writing, submission, and any follow-up to ensure final funding.Handles all administrative aspects of the paramedic development program, including tracking EMT eligibility and prerequisite status, operating as liaison between the EMS division chief and educational institutions, billing, purchase of necessary equipment and books, and helping students navigate the application process.Works with EMS trainers from outside agencies to broadcast educational videoconferences for CE credits. Sets-up audio/video technology to provide both live feed and recorded trainings to stations. Uploads video recordings to appropriate programs for dispersal to all uniformed members. Maintains EMS training assignments and updates available CE opportunities in the learning management system (LMS).Maintains calendar of ambulance riders, including internships of both West Metro Fire Rescue and other agency paramedic school students.Communicates with offsite paramedic school programs regarding requirements, billing, and student progress. Coordinates use of paramedic teams for community events including communication with clients, providing estimates, writing invoices, and staffing events. Processes reports and inputs data into state databases. Performs customer service and administrative support for the District.Transcribes oral dictation through the use of transcription equipment. Types correspondence, minutes of meetings, articles, and other materials on general and technical subjects.Assists in the revision, preparation, and dissemination of a variety of administrative documents such as agendas, board packets, minutes, memorandum, and procedures.Answers overflow telephone calls, covers administrative and receptionist duties when required, maintains administrative files, and participates in special projects.Maintains relatively complex records and master files in accordance with established systems and legal requirements.Perform a variety of complex administrative, secretarial, and/or accounting clerical duties in support of assigned department, division, or team.Reviews, researches, and summarizes a variety of fiscal, statistical, and administrative information.Coordinates and participates in the preparation of reports, memoranda and correspon dence of a legal, technical or confidential nature. Provides back-up to EMS billing and front desk as necessary.
