Overview

Our Client is looking to add an experience Office Admin / Project Coordinator to their team with experience in the construction and/or disaster restoration field.Room for advancement into a Management role as well! Stable company, health benefits, paid vacation & holidays, and more!Salary Range: $50,000 $58,000 Essential Duties and ResponsibilitiesCustomer CommunicationAnswer incoming customer calls and emails professionally and promptly.Provide customers with basic project updates and scheduling information.Document customer communications within WorkCenter.Escalate customer concerns to management when appropriate. Job File AdministrationCreate and maintain electronic job files.Upload and organize project documentation.Ensure required authorizations and contracts are signed and properly filed.Maintain accurate job notes and file records.Monitor assigned files for missing documentation. Scheduling SupportCoordinate customer appointments and inspections.Assist with scheduling technicians, estimators, and project managers.Communicate schedule changes to customers and team members. Documentation & ComplianceAssist with WorkCenter file maintenance.Upload documents to insurance carrier and TPA portals as directed.Ensure required documentation is submitted timely and accurately.Follow established documentation standards. Billing SupportAssist with invoice preparation.Verify files contain required supporting documentation before billing.Support collections efforts by providing documentation when requested.Maintain accurate customer and insurance billing information. Administrative SupportMaintain organized electronic and physical records.Assist with office projects and administrative tasks.Participate in team meetings and training sessions.Support office operations as assigned. Qualifications Education & ExperienceHigh School Diploma or equivalent required.Prior administrative, customer service, or office experience preferred.Restoration industry experience is a plus but not required. SkillsStrong organizational skills.Attention to detail.Professional verbal and written communication.Basic proficiency with Microsoft Outlook, Word, and Excel.Ability to learn company software systems including WorkCenter.Ability to manage multiple priorities in a fast-paced environment.
