Job Description

Overview

The Full-Charge Bookkeeper will work independently, maintain confidentiality of financial information, identify discrepancies, and ensure that accounting records are accurate, complete, and up to date. Key Responsibilities General Bookkeeping Maintain complete and accurate general ledger records. Record and classify daily financial transactions. Prepare and post journal entries and adjusting entries. Maintain organized accounting files and supporting documentation. Monitor accounting records for accuracy and completeness. Reconcile subsidiary accounts with the general ledger. Accounts Payable Process vendor invoices and employee expense reports. Verify invoices, purchase orders, receipts, and approvals. Code expenses to the appropriate accounts and departments. Prepare and process vendor payments. Maintain accurate vendor records. Respond to vendor inquiries and resolve billing discrepancies. Accounts Receivable Prepare and issue customer invoices. Record customer payments and maintain accurate receivable balances. Monitor outstanding invoices and follow up on past-due accounts. Reconcile customer accounts and resolve discrepancies. Assist with collections and account inquiries. Bank & Credit Card Reconciliations Reconcile bank accounts, credit cards, loans, and other balance sheet accounts. Investigate and correct discrepancies. Ensure transactions are properly recorded in the accounting system. Maintain supporting documentation for reconciliations. Payroll Collect and review employee timekeeping information. Process payroll accurately and on schedule. Maintain payroll records and employee changes. Record payroll journal entries. Reconcile payroll accounts. Coordinate payroll tax filings and payments, as applicable. Maintain confidentiality of employee compensation and payroll information. Financial Reporting Prepare monthly financial statements, including: Profit & Loss statements Balance sheets Cash-flow reports Accounts receivable aging reports Accounts payable aging reports Prepare management reports and financial summaries as requested. Provide accounting information to management, accountants, auditors, and other authorized parties. Month-End & Year-End Close Perform month-end closing procedures. Reconcile balance sheet accounts. Record accruals, prepaid expenses, depreciation, and other adjusting entries. Assist with year-end closing activities. Prepare schedules and documentation for the CPA, tax preparer, or external auditor. Support annual tax and audit requirements. Tax & Compliance Support Assist with sales tax, payroll tax, and other required filings. Maintain accurate records for tax preparation. Ensure financial records are maintained in accordance with applicable accounting practices and company policies. Assist with audits and provide requested financial documentation. Additional Duties Monitor cash balances and assist with cash-flow management. Maintain fixed-asset records. Prepare deposits and maintain cash receipts records. Assist with budgeting and forecasting. Identify opportunities to improve accounting procedures and internal controls. Perform other accounting and administrative duties as assigned. Qualifications 25+ years of bookkeeping or accounting experience, preferably in a full-charge bookkeeping role. Strong understanding of bookkeeping principles and double-entry accounting. Experience with accounts payable, accounts receivable, reconciliations, and general ledger accounting. Payroll processing experience preferred. Proficiency with accounting software such as QuickBooks, Xero, Sage, or similar systems. Strong Microsoft Excel skills. Knowledge of payroll, sales tax, and basic financial reporting requirements. High level of accuracy and attention to detail. Strong organizational and time-management skills. Ability to maintain confidentiality of sensitive financial and employee information. Ability to work independently and meet deadlines. Strong written and verbal communication skills. Preferred
