Job Description Job Description OverviewThe Talent Acquisition Coordinator plays a critical role in delivering a positive candidate and new hire experience throughout the recruitment and onboarding process. This position provides administrative and operational support to the Talent Acquisition team by coordinating hiring activities, managing onboarding processes, maintaining recruiting systems, and ensuring a seamless experience for candidates, hiring managers, and new employees.The ideal candidate is highly organized, customer-focused, detail-oriented, and thrives in a fast-paced environment while managing multiple priorities.ResponsibilitiesOnboarding & Pre-Employment AdministrationCoordinate and facilitate onboarding and orientation programs for new employees.Manage pre-employment requirements, including background checks, physical examinations, drug screenings, and other employment-related documentation.Prepare and maintain employment records related to hiring, transfers, promotions, and terminations.Recruiting Systems & ComplianceMaintain and support the Applicant Tracking System (ATS), ensuring accuracy, completeness, and data integrity.Audit candidate and requisition records to ensure compliance with established recruitment processes.Post and monitor job openings on various recruiting platforms, workforce agencies, military organizations, colleges, and job boards.Maintain recruitment-related records, documents, and forms, including updates, distribution, retention, and archiving.Recruitment Coordination & Candidate ExperienceProvide exceptional customer service to candidates throughout the hiring process.Coordinate schedules, calendars, travel arrangements, and related logistics.Assist recruiters and hiring managers with interview coordination and scheduling conflict resolution.Support recruitment events, career fairs, campus recruiting activities, and hiring initiatives.Assist applicants with the employment application process, technical issues, directions, and general recruiting-related inquiries.May conduct candidate reference checks and assist with recruiting-related projects as needed.Administrative & Operational SupportTrack and process recruiting-related expenses, including candidate travel, recruitment advertising, and promotional materials.Assist with reporting, wage survey data collection, and other talent acquisition metrics.Support continuous improvement initiatives, process documentation, and special projects.AdditionalAbility to perform all essential job functions with or without reasonable accommodation.Perform all other duties as assigned.Must have regular and punctual attendance.QualificationsSkills and AbilitiesGeneral computer knowledge and proficiency.Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams.Familiarity with Human Resources Information Systems (HRIS) and Applicant Tracking Systems (ATS) preferred.Demonstrated CompetenciesHigh level of accuracy and attention to detail.Strong organizational and time management skills with the ability to manage multiple priorities simultaneously.Strong customer service and relationship-building abilities .Self-motivated with the ability to work independently and collaboratively within a team environment.Ability to learn new systems, processes, and technologies quickly.Excellent verbal and written communication skills.Ability to handle sensitive and confidential information with professionalism and discretion.Physical RequirementsPrimarily performed in an office environment.Regular use of a computer, telephone, and other standard office equipment.Ability to sit, stand, walk, reach, and perform routine office activities throughout the workday.May require occasional travel to recruiting events, career fairs, or company locations.Experience: Previous experience in Human Resources, Talent Acquisition, recruiting coordination, or an administrative support role preferred.
