Overview

The Special Order Customer Experience Representative at Staples Promotional Products is responsible for managing the full lifecycle of special orders, ensuring best-in-class customer satisfaction. This bilingual role involves coordinating with customers, sales teams, and vendors to optimize order processing, delivery, and invoicing while resolving issues and maintaining strong relationships.

Key responsibilities

  • Manage product sourcing, quoting, order entry, processing, delivery, and invoicing.
  • Act as the primary point of contact for customers and vendors.
  • Coordinate with vendors for product sourcing and delivery timelines.
  • Manage order lifecycle activities including acknowledgements and status updates.
  • Collaborate with Accounting for timely invoicing and issue resolution.
  • Proactively identify and resolve order or invoice issues.
  • Research and prepare competitive, profitable quotes.
  • Maintain accurate records of orders and activities.
  • Support continuous improvement by sharing best practices.
  • Provide backup support to team members and assist with special projects.

Required skills

  • Bilingual fluency in English and French
  • 2+ years of customer service experience
  • Proficiency in Microsoft Office Suite (Excel, Outlook, PowerPoint)
  • Experience with order processing systems and workflows
  • Strong organizational and multitasking skills
  • Attention to detail and problem-solving capabilities
