QueensTower, a contemporary high-rise community overlooking the Ohio River and Cincinnati skyline, is seeking a Building Administrator to support the daily administrative and operational needs of the property.This position will work closely with the Condominium Owners Association Board of Directors, residents, vendors, and the property management company to ensure efficient communication, organization, and coordination of building operations.This role is designed to focus primarily on administrative coordination, communication, and organizational oversight rather than hands-on maintenance or physical labor responsibilities.Position SummaryThe Building Administrator serves as the primary administrative liaison for the building and assists in coordinating property operations, resident communications, vendor management, recordkeeping, and board support. The ideal candidate is highly organized, detail-oriented, customer-service focused, and able to manage multiple priorities in a professional residential environment.The Ideal Candidate Will: Have strong written and verbal communication skills Be highly organized with strong administrative and follow-up abilities Demonstrate professionalism and discretion when working with residents and board members Possess strong interpersonal and conflict-resolution skills Be detail-oriented and proactive in identifying and addressing issues Have experience coordinating vendors, schedules, and projects Be comfortable working independently and collaboratively Demonstrate sound judgment and time-management skills Be proficient in Microsoft Office and administrative software systems Have experience preparing meeting materials, reports, and correspondenceResponsibilitiesAdministrative & Resident Support Serve as a primary point of contact for residents, vendors, and the Condominium Owners Association (COA) Board Respond to resident inquiries and concerns in a timely and professional manner Maintain accurate records of resident communications, maintenance requests, incidents, and building documentation Coordinate move-ins, move-outs, deliveries, and resident notifications as needed Assist with enforcement communication related to COA policies and proceduresBoard & Meeting Coordination Prepare agendas, meeting packets, correspondence, and supporting documentation for COA Board meetings Attend and assist in facilitating monthly COA Board meetings Record and distribute meeting minutes and follow-up action items Provide regular updates to the Board regarding ongoing projects, vendor activity, and operational mattersVendor & Project Coordination Coordinate scheduling and communication with contractors, service providers, and vendors Obtain and organize vendor proposals and estimates for Board review Track work orders, service requests, and project timelines Monitor vendor performance and maintain organized vendor files and contractsFinancial & Recordkeeping Support Assist with budget tracking, invoice processing, and financial reporting coordination Maintain organized records of expenses, contracts, insurance certificates, and association documents Support collections and account communications in coordination with the property management company Assist with preparation and distribution of owner communications and noticesProperty Operations Oversight Conduct periodic walkthroughs of common areas to identify maintenance or operational concerns Coordinate maintenance requests with appropriate vendors or maintenance personnel Support implementation and tracking of building improvement projects Maintain ongoing communication with Prima Vista ownership/management regarding shared operational mattersRequired Qualifications 3 5 years of administrative, property management, office management, or related experience preferred Strong organizational and multitasking abilities Excellent customer service and communication skills Ability to maintain professionalism in sensitive or conflict situations Proficiency in Micr
