Job Description

Overview

Beacon Hill Staffing Group is seeking a Project Coordinator to support high-impact construction projects in downtown Chicago. This role involves ensuring that teams are organized and timelines are adhered to from pre-construction through to project closeout.

Key responsibilities

  • Support Project Managers with coordination of construction projects
  • Track project timelines, milestones, and deliverables
  • Maintain and update project schedules, logs, and documentation
  • Coordinate communication between teams, subcontractors, vendors, and stakeholders
  • Schedule and organize project meetings, including managing agendas and notes
  • Follow up on action items and pending deliverables
  • Assist with procurement activities and track submittals, RFIs, and change orders
  • Maintain accurate records of contracts, permits, and drawings
  • Support document control processes
  • Track project budgets, invoices, and expenses
  • Monitor compliance with project requirements and safety protocols
  • Assist with project reporting and client-facing summaries
  • Identify and escalate scheduling or coordination issues
  • Coordinate project closeout activities including documentation and punch lists

Required skills

  • 2+ years experience in project coordination or administrative role in construction
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Proficiency with project management software (Procore, Bluebeam, Primavera, MS Project)
  • Advanced skills in Microsoft Office (Excel, Word, Outlook)
  • Ability to prioritize tasks and meet deadlines
  • Problem-solving mindset with proactive approach
  • Comfortable working with field teams and construction personnel
  • Bachelor's degree preferred or equivalent experience in construction
