Job Description: Payroll Coordinator Work Mode: Onsite Location: Onsite, four days per week - Koher, WI Opportunity The Payroll Coordinator - US supports the accurate, timely, and compliant delivery of US payroll operations. This role is responsible for validating payroll data, supporting payroll processing and reconciliations, responding to payroll enquiries, and ensuring adherence to established payroll controls and procedures. Working closely with the US Payroll Manager, HR, Finance, and external partners, the role contributes to a reliable, compliant, and service focused payroll operation while supporting continuous improvement initiatives. Key Responsibilities Payroll Processing & Administration Validate, input, and maintain payroll data to ensure accurate payroll processing Support payroll preparation for bank submission and posting to financial systems Process manual and off cycle payments where required Prepare payroll reports, journals, and reconciliations in accordance with internal controls Compliance & Controls Support compliance with US federal, state, and local payroll regulations Ensure payroll activities adhere to Kohler policies, procedures, and approval controls Escalate payroll discrepancies, risks, or control issues to the Payroll Manager in a timely manner Data Management & Reporting Produce accurate payroll and HR reports using data from approved systems Perform payroll reconciliations and investigate variances Maintain organised payroll documentation in line with audit and retention requirements Employee & Stakeholder Support Respond to routine payroll enquiries from employees, HR, and Finance Provide guidance on payroll processes and documentation requirements Build effective working relationships with internal stakeholders, delivering a high quality payroll service Process Improvement & Continuous Learning Follow standardised payroll processes with a focus on accuracy and efficiency Support payroll system testing, enhancements, and process changes Maintain up to date knowledge of payroll practices, regulations, and technologySkills/RequirementsHS Diploma or GED required, secondary degree preferred Previous payroll or administrative experience preferred, ideally supporting established processes and procedures Experience with payroll processing, data entry, validation, and reconciliation preferred Proficiency with Microsoft Office, especially Excel, and comfort learning new systems and tools Strong attention to detail and accuracy Good organizational and time-management skills Dependable and able to follow established processes Willingness to learn and grow in a payroll environmentApplicants must be authorized to work in the US without requiring sponsorship now or in the future.
