Overview

The Patient Admin Specialist role at a leading healthcare organization in Palo Alto, California, involves supporting a dynamic clinical environment by managing front desk operations and enhancing the patient experience. The successful candidate will ensure a seamless patient journey from check-in to check-out, contributing to the clinic's operational efficiency and compassionate care delivery.

Key responsibilities

  • Serve as the primary point of contact for patients, managing front desk operations, check-ins, and check-outs
  • Greet and assist patients with inquiries regarding appointments, payments, and schedules
  • Manage a multi-line phone system, screening and routing calls, and taking messages for clinical staff
  • Ensure all necessary verifications and authorizations are complete before patient appointments
  • Collaborate with providers on scheduling preferences and urgent patient needs
  • Provide patient support using reference documents and tools
  • Perform administrative tasks, including maintaining databases and processing internal forms
  • Utilize telephone systems and electronic medical records proficiently
  • Meet or exceed organizational and departmental service standards
  • Address non-clinical patient inquiries, escalating complex issues as needed
  • Manage and distribute faxes, mail, and clinic-specific documentation

Required skills
