On-Site Coordinator For Government ServicesThe On-Site Coordinator for Government Services is BlueGrace Group's boots-on-the-ground representative at our Jersey City, NJ government freight facility. This individual is responsible for the day-to-day physical coordination of BlueGrace's carrier subcontractors and trailer pool operations on site, ensuring that freight moves in full compliance with government contract requirements and BlueGrace's operational standards. The On-Site Coordinator is the primary escalation point for all site-level service issues and serves as the direct liaison between BlueGrace's carrier network and the facility. This is a highly visible, hands-on role that requires strong situational awareness, sound independent judgment, and the ability to build productive working relationships with carrier partners on the ground. Success in this role directly impacts BlueGrace's performance on a mission-critical government account.Duties and Responsibilities:Trailer Pool ManagementMaintain a real-time, accurate inventory of all trailers in the BlueGrace pool at the Jersey City facility, including trailer number, status, location, and carrier assignment.Coordinate the positioning, staging, and movement of trailers across the yard to maximize operational efficiency and meet outbound freight requirements.Conduct regular trailer pool audits to verify physical inventory against system records; report and reconcile discrepancies promptly.Monitor trailer dwell times and proactively address aging or idle equipment in coordination with carriers and the Government Services operations team.Track and report trailer pool utilization, capacity, and condition to the Government Services Manager on a regular cadence.Carrier & Subcontractor CoordinationServe as the primary on-site point of contact for all carrier subcontractors operating at the Jersey City facility, managing daily check-ins, assignments, and communication.Coordinate carrier arrivals, departures, and load assignments in alignment with the facility's operational schedule and government contract requirements.Build and maintain professional working relationships with carrier drivers and dispatch contacts to ensure reliable, cooperative execution on site.Monitor carrier performance at the site level, including on-time arrivals, load acceptance, and equipment standards; report performance issues to the Government Services team.Communicate schedule changes, load updates, and operational instructions to carriers clearly and in a timely manner.Compliance & DocumentationEnsure all carrier subcontractors operating on site meet BlueGrace's compliance requirements and any government contract-specific standards for equipment, credentials, and conduct.Verify and collect required documentation at the point of dispatch and receipt, including Bills of Lading (BOLs), seal logs, trailer inspection records, and delivery receipts.Maintain accurate, complete on-site records for all freight movements, carrier interactions, and equipment transactions in accordance with government contract documentation requirements.Conduct and log routine trailer inspections, noting and escalating any equipment damage, seal integrity issues, or compliance concerns.Support audit readiness by ensuring all site documentation is organized, current, and accessible for review at any time.On-Site Issue Escalation & ResolutionAct as the first point of escalation for any site-level service disruptions, carrier conflicts, equipment issues, or compliance concerns that arise during operational hours.Assess and triage on-site issues quickly, resolving what can be handled at the site level and escalating to the Government Services Manager with full context when required.Coordinate with carriers, facility personnel, and BlueGrace's internal teams to implement timely solutions that protect freight integrity and contract performance.Document all escalations, incidents, and resolutions with accurate detail for reporting, ris
