Job Description

Overview

Eagle Railcar Services is seeking a proactive Office Manager to be the operational backbone of their Eastland headquarters. This role is essential in maintaining smooth office operations, managing correspondence, and serving as a communication bridge between the corporate office and multiple railcar maintenance shops.

Key responsibilities

  • Manage day-to-day office functions including supplies and facilities coordination
  • Oversee the full mail and correspondence workflow
  • Maintain organized filing systems for contracts, invoices, and corporate records
  • Coordinate executive calendars, meeting logistics, and travel arrangements for C-suite leadership
  • Serve as the primary point of contact between the Eastland office and shop managers
  • Coordinate with Purchasing to track supply requests and assist with order submissions
  • Follow up on open items and compliance submissions from shop locations
  • Partner with IT to coordinate equipment requests and troubleshoot office technology issues
  • Support C-suite executives with administrative projects and reporting
  • Assist with HR onboarding and workspace setup for new employees

Required skills

  • 3-7 years of experience in office management or operations coordination
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams)
  • Strong written and verbal communication skills
  • Ability to manage multiple priorities and meet deadlines independently
  • High level of personal integrity in handling confidential information
  • Detail-oriented with excellent organizational skills
