Overview

Castelion Corporation is seeking a proactive Office Manager to oversee the daily operations of their Washington DC office. This role is critical in maintaining a professional and efficient environment that supports customer engagement and executive meetings, directly influencing the company's first impression on clients and stakeholders.

Key responsibilities

  • Own daily office operations and maintain a clean, organized environment
  • Prepare and manage the office for customer visits and executive meetings
  • Coordinate meeting and event logistics, including scheduling and setup
  • Manage vendor relationships and ensure timely service
  • Oversee shipping and receiving, managing mail and equipment distribution
  • Partner with EHS and security to uphold protocols and ensure safe operations
  • Maintain inventory of office supplies and materials
  • Address maintenance needs and escalate issues as necessary
  • Establish and uphold office procedures to drive consistency and efficiency
  • Track and manage office-related expenses and budgets
  • Implement improvements to enhance office operations and workplace experience

Required skills

  • 3+ years of experience in office management or related roles
  • Strong organizational and multitasking skills
  • Experience managing vendors and service providers
  • Familiarity with shipping and receiving processes
  • Strong communication and interpersonal skills
  • Ability to operate independently with attention to detail
  • Proficiency with standard office tools (Microsoft Office, Google Workspace, etc.)
  • Experience supporting executive offices or high-visibility environments
  • Background in facilities coordination or logistics
  • Ability to work in a fast-paced environment with frequent changes
