IT & Business Systems Coordinator IT & Business Systems Coordinator Location: Kalamazoo, MI (On-site) Company: Kalamazoo Mechanical, Inc. About the Role Kalamazoo Mechanical, Inc. is seeking a business-minded technology professional to serve as our internal go-to resource for systems and technology. This role bridges the gap between our employees, our Managed Service Provider (MSP), and our software platforms. You don't need to be a deep technical engineer-but you must be a strong generalist, quick learner, and effective communicator who can support users, manage systems, and help our team get the most out of our tools. Most importantly, support and find solutions for our construction and service teams who are not fluent technology professionals. What You'll Do Systems & Application Support Administer and support core software platforms such as:Sage Intacct, Sage Construction Management, Sage Field Operations, ProcorePaycor (HR/Payroll/Recruiting)FollowUp CRM and other SaaS toolsManage user accounts, permissions, and access across systemsAssist with configuration, troubleshooting, system usage, and improvements MSP & Vendor Liaison Act as the primary point of contact for our IT Managed Service ProviderCoordinate support tickets, escalations, and issue resolutionInterface with software vendors & VARsManage support relationships Employee Support & Training Provide day-to-day support (password resets, access issues, basic troubleshooting)Help onboard/offboard employees from a technology standpointOwn Paycor ATS and manage all job postingsMaintain accurate employee records within PaycorSupport reporting and data tracking (hiring, compensation, etc.)Train, coach, support staff on systems and best practicesCreate guides, SOPs, and training materials. Deliver training to inhouse teams on software platforms Business Systems & Data Support Support workflows across accounting, service, and operations platformsAssist with reporting, KPIs, dashboards, and data integrityMaintain email distribution lists, user roles, and system organization Technology Administration & Security Manage password systems (e.g., LastPass or similar)Ensure good practices around access and securityAssist with device setup and coordination with MSP What We're Looking For Required 5+ years of experience in IT support, systems coordination, or business applicationsStrong working knowledge of Microsoft 365 and general PC environmentsStrong understanding of SaaS applications and cloud-based systems (e.g. ERPs, ATSs, SharePoint)Excellent communication skills-you enjoy helping and teaching othersOrganized, proactive, and service-orientedSelf motivated, resourceful- this role is the only IT professional on staff, crucial to plan and schedule independentlyExtremely trustworthy and professional- will have access to sensitive data. Preferred (Highly Valuable) Experience with ERP/accounting systems (Sage Intacct or similar)Experience working with or alongside an MSPUnderstanding of basic accounting concepts (GL, job costing helpful)Experience with construction or service industry systems Why This Role Matters This position is critical to helping our team operate efficiently.
