Job Summary:The Finance & HR Specialist serves as a key member of the Business Operations team, owning the day-to-day financial, payroll, and people operations functions of the organization. This role is responsible for ensuring accuracy, organization, and efficiency across invoicing, billing quality control, employee and contractor administration, payroll support, and HR operations. This individual partners closely with external partners to ensure smooth financial operations while supporting the employee and contractor lifecycle from onboarding through offboarding.Duties/Responsibilities:Financial OperationsOwn the invoicing and billing quality control process to ensure accuracy and completeness prior to invoice submissionReview timesheets, bill rates, pay rates, markups, expenses, and billing data for accuracyCoordinate invoice corrections and resolve billing discrepancies with internal teamsServe as the primary operational liaison with the Companyâs external accounting and finance partnersSupport payroll processing activities and payroll auditsAssist with financial reporting requestsMaintain financial records, reports, and supporting documentationProcess and track employee and contractor expense reimbursementsSupport workersâ compensation audits, insurance audits, and client audit requestsFacilitate and own accounts receivable follow-up and collections activitiesPayroll AdministrationSupport payroll processing activities and payroll quality control reviewsEnsure accurate collection and validation of timekeeping recordsProcess payroll changes including new hires, terminations, compensation changes, deductions, and garnishmentsServe as the point of contact with payroll-related inquiries from employees and contractorsSupport the implementation and administration of an internal payroll functionHR Operations and Program SupportCoordinate employee and contractor onboarding and offboarding activitiesAdminister background checks, employment verification requests, and onboarding documentationMaintain employee personnel files and HR documentation in compliance with company policies and applicable lawsAdminister and coordinate benefits administration activities including enrollments, changes, and qualifying life eventsSupport open enrollment activities and communicationsTrack policy acknowledgements, required training, and compliance requirementsAssist with unemployment claims administration and workersâ compensation documentationMaintain HRIS data integrity and employee recordsSupport the development, implementation, and continuous improvement of HR programs, policies, and processesCoordinate employee engagement initiatives, recognition programs, and culture initiativesSupport special projects and strategic initiatives as assigned by leadershipPerform other duties as assignedQualifications/Requirements:Associateâs or Bachelorâs degree in Business Administration, Human Resources, Accounting, Finance, or a related field preferred3+ years of experience in accounting administration, payroll administration, human resources administration, business operations, or a related roleExperience owning and supporting invoicing, billing, payroll, accounts payable, accounts receivable, or financial administration activitiesExperience supporting employee onboarding, benefits administration, personnel records management, and other HR administrative functionsExperience working with HRIS, payroll, accounting, or ERP systems.Experience working with QuickBooksExperience supporting multi-state employees and contractors preferredExperience within staffing, professional services, consulting, or project-based organizations preferredKnowledge, Skills & Abilities:Ability to work independently and in a team environmentExcellent organizational and project management skillsStrong attention to detail and commitment to accuracyStrong written and verbal communication skillsAbility to prioritize multiple competing deadlines in a fast-paced env
