Job Description

Overview

The Evening Office Assistant at the Counselling and Psychotherapy Centre will provide reception and administrative support to clients, students, supervisors, and faculty. This role requires the assistant to manage communications, maintain client files, and ensure a safe environment in the evening, adhering to the Centre's policies and procedures, especially regarding confidentiality and emergency response.

Key responsibilities

  • Provide courteous reception services to clients and staff.
  • Handle client transactions and issue receipts.
  • Refer individuals in crisis to appropriate resources.
  • Document client interactions and maintain accurate records.
  • Manage office tasks including scheduling and filing.
  • Ensure compliance with confidentiality policies.
  • Assist with special projects as directed by the Centre's Director.

Required skills

  • Minimum 2-year College Degree in administration or related field.
  • At least 2 years of administrative experience in mental health or healthcare.
  • Advanced bilingualism in English and French, both oral and written.
  • Excellent interpersonal and communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to learn new software quickly.
  • Training in suicide prevention is an asset.
