Job Description

Overview

Position Overview: We are seeking a detail-oriented, proactive Billing & Accounting Specialist to join a growing team in a new Boston office. In this critical role, you will serve as the primary local liaison for their incoming attorneys and practice groups, while seamlessly integrating with their centralized firm-wide accounting infrastructure. The ideal candidate will have extensive experience navigating complex legal billing requirements (including electronic billing), exceptional communication skills to interface directly with partners and clients, and the adaptability to help establish administrative workflows in a newly launched regional footprint. Key Responsibilities: - Revenue Cycle Management: Manage the full cycle of client billing for the local office, including generating, reviewing, editing, and finalizing monthly prebills and invoices. - E-Billing Administration: Submit electronic invoices through various client-mandated vendor portals (e.g., LegalX, Tymetrix, Serengeti), tracking submissions and actively resolving rejections or e-billing errors. - Attorney Support: Partner closely with local shareholders, associates, and other professionals to review client engagement letters, establish specific billing guidelines, and ensure compliance with outside counsel guidelines (OCGs). - Accounts Receivable & Collections: Monitor aged accounts receivable for the office, coordinate collection efforts with billing partners, and assist in resolving complex client payment discrepancies. - Administrative Adaptation: Coordinate closely with firm leadership during the local office launch phase to maintain smooth billing continuity while operating out of temporary spaces ahead of permanent office transitions. Qualifications & Skills - Education: Bachelor's degree in Accounting, Finance, Business Administration, or a related field preferred. - Experience: 3 5+ years of legal billing or corporate accounting experience within a law firm setting. Experience handling IP Litigation (e-billing) or Healthcare practice billing constraints is highly advantageous. - Software Proficiency: Hands-on experience with major legal practice management software (e.g., Aderant, Elite 3E) and various corporate e-billing systems. High proficiency in Microsoft Excel is required. - Communication: Exceptional verbal and written communication skills, with a proven ability to discuss financial matters diplomatically with partners and corporate clients. - Adaptability: A self-starter mindset comfortable working in a dynamic, growing regional office environment while maintaining close ties to a centralized corporate team.
