Overview

The Bilingual Front Desk Coordinator at Solano Law Firm will serve as the first point of contact for clients and visitors, requiring strong communication skills in both Spanish and English. This role involves managing daily office operations and supporting leadership while providing a high level of client service in a fast-paced environment.

Key responsibilities

  • Serve as the first point of contact for clients, visitors, and team members
  • Manage a high-volume main phone line and direct calls appropriately
  • Schedule consultations and maintain accurate attorney calendars
  • Provide bilingual communication (Spanish/English), updates, and information gathering
  • Prepare meeting rooms and support daily office operations
  • Maintain call logs and voicemail records
  • Organize and manage physical and digital client files
  • Prepare correspondence and translate documents as needed
  • Handle incoming and outgoing mail and deliveries
  • Provide administrative support, including data entry and document preparation
  • Assist with internal scheduling, travel coordination, and firm events
  • Identify inefficiencies and propose solutions
  • Take ownership of improving processes and workflows
  • Anticipate needs before they become problems
  • Support leadership with operational coordination

Required skills

  • Fluent in Spanish and English (verbal and written)
  • Minimum 3 years of receptionist or administrative experience
  • Strong customer service and interpersonal skills
  • Ability to multitask and prioritize in a fast-paced environment
  • Close attention to detail and strong organizational skills
  • Proficient in Microsoft Word, Excel, and Outlook
  • Experience in an immigration or law firm setting (preferred)
  • Experience handling high-volume phone systems (preferred)
  • Associate's degree or higher (preferred)
