SUMMARY OF THE POSITION A professional who analyzes organizational needs, develops and provides expertise on administrative methods and systems with the objective of improving service operations and efficiency. SPECIFIC FUNCTIONS System Management • Manage the entry and update of parameters related to logistics. • Provide continuous support for 2 major software within the service. • Manage profiles and user rights listing for individuals with different roles. • Development of new parameters and subsequent support, training, and documentation. Training, documentation and support • Conduct training sessions for new users during onboarding processes. • Develop and maintain training documentation, including supplementary materials. Data Management and Analysis • Support the collection, analysis, and communication of data within the team, organization, and with partners. • Monitors different dashboards and act to resolve or correct data entries. • Continuous quality assurance process. Reporting and Statistics • Generate various reports and statistics. • Produce and analyze statistics, indicators, performance measures, and dashboards, including financial analysis of organizational activities. Administrative Support • Contribute to the efficient daily administrative operations. • Participate in the implementation of services and projects related to the Nomadis platform in collaboration with multiple partners. • Contribute to the administrative project management of policies, information, files, actions, and meetings. • Evaluate support needs for the department and recommend, develop, implement, and maintain an appropriate administrative system. • Contribute to the department planning, either by directly supporting the coordinator or collaborating with designated staff. • Assess reporting needs to support the administration department and recommend, develop, establish, and perform appropriate reports. • Participate in the flow of information between departments in the organization. • Support the coordinator in planning and preparing documents for presentation to committees and meetings. REQUIREMENTS Formation: • Bachelor's degree in Administration, Arts and Humanities, Social Sciences, or other appropriate academic discipline. Experience: • Five (5) years of appropriate administrative experience in similar responsibilities; • Experience in health informatics is an asset. Knowledge and Capabilities: • Knowledge of administrative systems, techniques, practices, data analysis, reporting and information systems; • Knowledge of the MSSS network, policies and programs, and administrative rules; • Knowledge of First Nations social service patterns, trends and issues (an asset); • Ability to identify and analyze the needs of administrative systems Nomadis platform; • Ability to develop programs, policies, procedures and other documents; • Comfortable working under pressure in a fast-paced environment. • Excellent teamwork skills; • Strong problem-solving skills; • Strong organizational, project management and communication skills; • Ability to communicate theoretical and practical knowledge, applied to coaching and training; • Knowledge of Nomadis • Proficiency in the Office suite (MS Word, Excel, Project and PowerPoint) (possibility of testing); • Knowledge of video conferencing software, MediSolution, (an asset). OTHER • On call availability: Weeknights and Weekends all day (08h00 to 22h00) • Available to travel across all Eeyou Istchee communities as needed.
